Annual Reports as Storytelling, Not Spreadsheets

The annual report is the document a nonprofit, school or association spends three months producing and four hours reading. Most of that asymmetry comes from format: a 60-page PDF of charts is a reference document, not a story. Treating the annual report as a story rendered as a flipbook flips the asymmetry — short read time, long engagement.

Three-act structure for an annual report

Act one: the year you set out to have. Two spreads of the goals you committed to at the start of the year, in the order they matter to your stakeholders. Act two: the year you actually had. The numbers, the surprises, the failures alongside the wins. This is where most reports get clinical; resist. A beneficiary story or a single quote from a teacher carries more weight than a chart that compares this year to the last. Act three: the year you are setting up. Two spreads on what comes next, what you are asking the reader to do, and where to send the cheque or the volunteer hour.

The hard part: writing it

None of the above matters if the prose is corporate. The trick is to commission the writing from somebody who has never read your previous annual report; their first draft will be better than your fifth draft because they cannot see the assumed knowledge. Pay them well, give them every interview transcript and every photo, and ship what they hand you with light edits. The annual reports that move money are the ones written by the writer, edited by the executive, not the other way round.
